Frequently asked questions

Is it free?

Yes. InvoiceKit is completely free to use — no account, no sign-up, no watermarks on your invoices.

What is the difference between an invoice and a receipt?

An invoice is a request for payment sent before you get paid; a receipt confirms payment was received. In practice most freelancers send an itemized, numbered invoice with a due date and payment terms first, then either mark that invoice paid or issue a receipt referencing the invoice number once the money arrives. In your bookkeeping the two documents do different jobs: the invoice is what you track as money owed to you, which makes following up on late payments straightforward; the receipt is your client's proof of payment, which is what they file with their own records. Keeping both — the sent invoice and the payment confirmation — gives you a clean paper trail for every job, so any question about who paid what and when has a one-file answer.

Do I need an invoice number?

Yes — a unique, sequential invoice number is the small habit that keeps the rest tidy. It lets you match payments to invoices without guessing, reference a specific bill in a late-payment reminder without ambiguity, and spot gaps in your records at a glance. Any consistent format works: simple sequence (0001, 0002...), year-based (2026-001), or client-prefixed (ACME-014). What matters is that numbers never repeat, so each invoice in your history is identifiable as exactly one job and one payment.

When should I send an invoice?

As soon as the work is agreed or delivered — the timing depends on how you agreed to work. For project work, many freelancers invoice at milestones (a deposit up front, the balance on delivery); for ongoing or hourly work, a single invoice at the end of each month or billing cycle is common. Whatever the rhythm, send it promptly while the work is fresh in the client's mind, state the due date and payment terms on the invoice itself (Net 14 and Net 30 are the common defaults), and keep a copy of everything you send.

Can I download my invoice as a PDF?

Yes. Fill in the form and use the Download PDF button — the invoice is rendered in your browser and saved as a PDF via the browser's print dialog (choose “Save as PDF”).

Where is my data stored?

In your browser only (localStorage). Nothing is uploaded to any server. Clearing your browser data will erase saved invoices, so keep copies of the PDFs you download.
